Set up QuoteLoop, step by step.

Everything you need to get the quote button live, make the PDF yours and turn quotes into orders.

Getting started

QuoteLoop is ready after three steps. The app's Home page shows a setup checklist that ticks each step off for you.

  1. Install QuoteLoop from the Shopify App Store and approve the plan to start your 14-day free trial.
  2. Turn on the quote button in your theme (see the next guide).
  3. Add your business details on the Quote PDF page: name, address, tax numbers and logo.

Then add something to your cart and click Download quote to see your first quote. It appears on Home straight away.

Turn on the quote button

The quote button is a theme app embed: a switch in your theme editor that adds QuoteLoop without touching your theme's code.

  1. In QuoteLoop, open Quote button and click Turn on the quote button. Your theme editor opens on App embeds.
  2. Switch on Quote button, then click Save in the theme editor.
  3. Back in QuoteLoop, the Quote button page shows it as On, with where it appears.
Tip: the button's text, colours, placement and popup fields are all in the app embed's settings in the theme editor, so you can see the changes on your store as you make them.

Where the button appears

In the app embed's settings you can use any mix of these:

  • Button next to checkout: placed automatically under your theme's checkout button, on the cart page, in the cart drawer, or both. Choose an outline style or the floating button's colours.
  • Floating button: in a bottom corner, on the cart page, on all pages once the cart has items, or on every page.
  • Quote button block: add it to any section in the theme editor (Add block › Apps › Quote button) to place a button exactly where you want.

Under Who can get quotes, choose everyone or logged-in customers only.

Button next to checkout not showing? Some themes use an unusual checkout button that QuoteLoop can't find. Add the Quote button block to your cart instead.

Your quote PDF

Open Quote PDF. The preview on the right is a real quote made from your own products, and it updates as you type.

Business details and logo

Your business name, address, email, phone, website and tax or registration numbers appear at the top of each quote. Upload a logo as PNG or JPEG, up to 2 MB (PDFs can't show SVG or WebP).

Details

  • Quote number prefix, such as Q- or ACME-.
  • Valid for (days): sets the valid-until date. Quotes expire after it.
  • Language: one of seven, or the language the shopper is browsing in.
  • Terms and conditions and a footer note.

Look

Accent colour, font, currency as a symbol or code, product images, SKUs, and the Accept & checkout button and QR code.

Wording

Change any word on the PDF, per language.

Good to know: once a customer has a quote, its PDF never changes, even if you change these settings later. Every copy matches what they received. Use Noto Sans for Sinhala or Tamil; right-to-left languages aren't supported yet.

Emails

Open Settings to set up emails.

Notifications for you

  • New quote alerts, with the PDF attached, to the address you choose.
  • Daily summary of follow-ups due and quotes expiring soon. It arrives between 8 and 11am in your store's timezone (Shopify › Settings › General), and only on days with something to do.

Emails to customers

  • Emails come from QuoteLoop's address with your store's name. Set Customer replies go to, so replies reach you.
  • Expiry reminders (off by default) go out a set number of days before the valid-until date. They're only sent for quotes you emailed (or invoiced) that are still open, at most once per quote. Extending the validity allows one more.
  • Send yourself a test email to see how it looks.
Opened isn't proof: some mail apps, like Apple Mail, open emails automatically. Treat Opened and Viewed as a good hint.

Managing quotes

Home lists every quote with its status, customer, value and follow-up date, and shows your stats: quotes, quoted value, conversion and revenue won, per currency.

  • Search by quote number, name, company, email or phone; filter by status and period.
  • Open a quote to see the customer, items, totals, timeline and versions, and to download the PDF the customer received.
  • Email quote to customer sends it with the PDF and a personal message. Afterwards the button becomes Resend.
  • Copy the link to the customer's online quote page and share it any way you like.
  • Tick quotes in the list to archive or decline several at once, or export them as CSV.
  • Extend validity by 7, 14 or 30 days, or to a date. An expired quote reopens.
  • Made a quote for a phone enquiry? Create it on Home, using the same editor as below.

Statuses: Created (downloaded or saved), Sent (emailed), Viewed (opened), Won (ordered), plus Expired, Declined and Archived.

Follow-ups

Each quote has a Follow-up card: a stage (not contacted, contacted, in discussion, waiting on customer, follow up later), a next follow-up date with quick picks, and a notes log for calls, emails, WhatsApp messages and meetings.

On Home, Show follow-ups due lists who to contact today. Email, call and WhatsApp buttons on the quote get you there in one click.

Editing and revisions

Open a quote and click Edit. You can change quantities, set your own unit price, add products or custom items (like installation), remove lines, change discount codes, add an extra discount with a reason, and update the customer, address, validity and note. Prices come live from Shopify.

Saving creates a new version, for example Q-0042-R1. The old version is kept exactly as it was sent, marked as replaced by the new one. Notes and follow-ups move to the new version, and an order placed from an old link counts for the latest one.

No Accept & checkout button? Quotes with your own prices, custom items or an extra discount can't be rebuilt as a cart link. Create a draft order and send Shopify's invoice instead.

Draft orders

Create draft order (on the quote's Draft order card) creates a Shopify draft order with the same items, options, discount codes, customer, address and currency. It shows today's Shopify price next to the quoted price, so you can spot changes.

Send invoice emails Shopify's own invoice with a payment link and marks the quote Sent. When the customer pays, the quote turns Won.

Won quotes

A quote turns Won automatically when the customer orders through its Accept & checkout link or pays its draft order invoice. You can also click Mark as won and:

  • Link a Shopify order by its number: online, POS or draft. Orders from the last 60 days can be found (a Shopify limit).
  • Or record a sale made outside Shopify, such as in store, by bank transfer or by phone.

Revenue won counts what the customer actually paid. Made a mistake? Use Undo won.

Plan and billing

QuoteLoop has one plan with every feature: $5.99 a month or $57.99 a year, with a 14-day free trial. Shopify bills it on your Shopify invoice.

  • Switch between monthly and yearly in Settings › Plan, which also shows when your trial ends.
  • If your plan ends, the quote button stops making new quotes; customers see “Quotes aren't available in this store right now”. Quotes you've already sent keep working.
  • Development stores use QuoteLoop free.

Privacy and data

  • Only the popup fields you turn on are saved.
  • Two years after a quote expires, the customer's personal details are erased automatically: name, company, email, phone, tax ID, addresses, notes and item notes. Items, totals and dates stay, so your stats don't change.
  • Settings › Privacy › Access log records each time staff open a quote, download a PDF or export a CSV. Staff are shown by their Shopify user ID. Entries are kept for two years.

Read the full privacy policy.

Troubleshooting

The button doesn't appear

  • Check the Quote button page in QuoteLoop: it shows whether the app embed is on in your live theme.
  • The floating button set to the cart page only appears on the cart page. “Once the cart has items” hides it while the cart is empty.
  • If only logged-in customers can get quotes, log in to a customer account to see it.
  • For the button next to checkout, try the Quote button block if your theme's checkout button isn't found.

The button says quotes aren't available

Your plan isn't active. Open QuoteLoop and choose the plan again.

The button doesn't work after renaming the app proxy

QuoteLoop uses the path /apps/quote on your store. If you changed it in Shopify, contact us.

The same quote came back twice

That's on purpose: clicking again with the same cart and details within 2 minutes returns the same quote instead of a duplicate.

A product image is missing on the PDF

Images that take more than 3 seconds to load are left out, so the quote isn't delayed.
